Compensation: $16.40/hour, paid biweekly (Fridays) + bonus commission opportunities based on sales

Kingsmen Auto (Kingsmen Custodian Inc.) is a growing pre-owned dealership in Conception Bay South. We are seeking a reliable, detail-oriented Operations Assistant to support daily dealership operations while contributing to sales and customer service. This entry-level position is ideal for someone who wants to gain hands-on experience in automotive retail, strengthen administrative and operational skills, and grow within a small, fast-paced business.
Primary Responsibilities
Sales & Customer Service Support
- Greet customers professionally in person and assist with general inquiries.
- Respond to inbound leads via phone, email, website, and social media platforms.
- Schedule appointments and test drives.
- Support customer follow-up and maintain accurate records of communications.
- Assist the Owner/General Manager during the sales process as required.
- Contribute to a positive and professional customer experience at all times.
Inventory & Vehicle Coordination
- Maintain accurate vehicle inventory records (VINs, features, pricing notes, status updates).
- Track vehicles from arrival through inspection, reconditioning, detailing, and lot readiness.
- Coordinate with external vendors such as mechanics, inspection centers, and detailers.
- Ensure inventory records are updated promptly and accurately.
CRM & Lead Management
- Log and track all customer inquiries in the dealership’s system.
- Schedule and document follow-ups to ensure no customer is missed.
- Maintain organized digital records and internal tracking tools.
Documentation & Administrative Support
- Prepare and organize sales-related documentation and deal files.
- Ensure required checklists are completed prior to finalizing transactions.
- Support general office administration including calendar management and recordkeeping.
- Maintain a clean and organized workspace.
Digital Listings & Merchandising
- Assist with collecting vehicle details and photos for online listings.
- Ensure accuracy of information across the dealership website and advertising platforms.
- Monitor listings for consistency and completeness.
Qualifications
- High School Diploma or equivalent required.
- Post-secondary education in business, commerce, or administration considered an asset.
- Strong organizational and multitasking abilities.
- Proficient with Google Workspace or Microsoft Office (especially Excel/Sheets).
- Clear written and verbal communication skills.
- Valid driver’s license preferred.
- Previous customer service or retail experience considered an asset.
Work Environment
- On-site position in a fast-paced dealership setting.
- Full-time schedule; including Saturday and statuary holidays availability may be required.
- Collaborative small-team environment with direct exposure to business operations and sales.
This role offers the opportunity to develop operational, administrative, and customer service skills within a growing dealership. As performance and reliability are demonstrated, the position may evolve into expanded operational or sales support responsibilities.
