Compensation:   $16.40/hour, paid biweekly (Fridays) + bonus commission opportunities based on sales

Reports To:   Dealership Owner / General Manager

Kingsmen Auto (Kingsmen Custodian Inc.) is a growing pre-owned dealership in Conception Bay South. We are seeking a reliable, detail-oriented Operations Assistant to support daily dealership operations while contributing to sales and customer service. This entry-level position is ideal for someone who wants to gain hands-on experience in automotive retail, strengthen administrative and operational skills, and grow within a small, fast-paced business.

Primary Responsibilities
Sales & Customer Service Support
  • Greet customers professionally in person and assist with general inquiries.
  • Respond to inbound leads via phone, email, website, and social media platforms.
  • Schedule appointments and test drives.
  • Support customer follow-up and maintain accurate records of communications.
  • Assist the Owner/General Manager during the sales process as required.
  • Contribute to a positive and professional customer experience at all times.
Inventory & Vehicle Coordination
  • Maintain accurate vehicle inventory records (VINs, features, pricing notes, status updates).
  • Track vehicles from arrival through inspection, reconditioning, detailing, and lot readiness.
  • Coordinate with external vendors such as mechanics, inspection centers, and detailers.
  • Ensure inventory records are updated promptly and accurately.
CRM & Lead Management
  • Log and track all customer inquiries in the dealership’s system.
  • Schedule and document follow-ups to ensure no customer is missed.
  • Maintain organized digital records and internal tracking tools.
Documentation & Administrative Support
  • Prepare and organize sales-related documentation and deal files.
  • Ensure required checklists are completed prior to finalizing transactions.
  • Support general office administration including calendar management and recordkeeping.
  • Maintain a clean and organized workspace.
Digital Listings & Merchandising
  • Assist with collecting vehicle details and photos for online listings.
  • Ensure accuracy of information across the dealership website and advertising platforms.
  • Monitor listings for consistency and completeness.
Qualifications
  • High School Diploma or equivalent required.
  • Post-secondary education in business, commerce, or administration considered an asset.
  • Strong organizational and multitasking abilities.
  • Proficient with Google Workspace or Microsoft Office (especially Excel/Sheets).
  • Clear written and verbal communication skills.
  • Valid driver’s license preferred.
  • Previous customer service or retail experience considered an asset.
Work Environment
  • On-site position in a fast-paced dealership setting.
  • Full-time schedule; including Saturday and statuary holidays availability may be required.
  • Collaborative small-team environment with direct exposure to business operations and sales.

This role offers the opportunity to develop operational, administrative, and customer service skills within a growing dealership. As performance and reliability are demonstrated, the position may evolve into expanded operational or sales support responsibilities.
